How your application is handled
Who is responsible
The employer named on the job page runs the job, decides who to hire and is responsible for your application (the “controller”). Mirus Business Solutions (“Mirus”, Trinidad & Tobago) runs Callout and stores and processes applications on the employer’s behalf, for that job only (the “processor”).
What we collect
- Your name, and the email address and/or phone number you give.
- Your answers to the job’s questions.
- Your CV, if you upload one (PDF, Word, JPG or PNG, up to 10 MB), or a reference code if you choose to send it on WhatsApp later. For PDF and Word CVs we also keep a plain-text copy of the words, so the employer’s hiring team can search it and quote it exactly; it is kept and deleted together with your CV. Photos of CVs are read by a person, not by software.
- Which link you applied through (for example “whatsapp” or “facebook”), so the employer knows which channels work. We do not store your IP address with your application.
You never create an account. We ask for your agreement before anything is saved; without it, nothing is stored.
How it is used
- The employer’s hiring team reviews applications in their Callout account: it scores each one against a few criteria for the role (for example communication and experience), may keep internal notes (for example from an interview or a reference check) that are deleted with your application, and prepares a shortlist. Each shortlisted person is shown with a word-for-word quote from their own application.
- If the employer buys Callout’s “Have Mirus read it” service for a job, a Mirus reviewer also reads every application for that job and prepares the shortlist. The job page says so when this applies.
- No one is rejected automatically. Software may help sort or check answers — for example it suggests a provisional score for each criterion from the words in your answers and the text of your CV, on our own systems, never from your name, contact details or where you saw the job — but a person makes every decision, and CVs a computer can’t read are set aside for a person to read — never discarded.
- The employer sees your answers and CV by signing in to Callout. Only people the employer has added to its Callout account can see them.
- Quick updates sent to the employer on WhatsApp contain only your first name and a score band (for example “strong”) — never your contact details, answers or CV.
- If you gave an email address and aren’t shortlisted, you may get one short email, in the employer’s name, telling you so after the job closes. The employer can switch this off.
Services that handle the data
- Cloudflare — hosting, database and file storage, making the shortlist PDF and spreadsheet files (in Cloudflare’s own browser service, with nothing fetched from elsewhere), and the Turnstile security check on the form.
- WorkOS — signs employers in to their Callout accounts (email code). Applicants never sign in.
- Resend — sends Callout’s emails: to employers (for example sign-in and account messages and application summaries), job alert emails to people who asked for them, and the one “not shortlisted” email described above.
- TypeSafe (Jev) and Ollama Cloud — may check answer text to suggest interview questions or the most relevant quote. Your name, email addresses and phone numbers are removed from the text first, and CV files are not sent. This removal is automatic and best effort: details software can’t recognise as yours — a nickname, another person’s name, an address — may remain in what you wrote.
When an operator selects “Draft the form for me”, the employer’s job title and job description are sent to Ollama Cloud to draft screening questions. Email addresses and phone-shaped numbers are masked first, on a best-effort basis. No applicant records are used for this feature. An operator reviews and edits the draft before publishing.
The “Ask about this job” box on job pages sends your question, with email addresses and phone-shaped numbers masked first, to TypeSafe (Jev) to check what it is about, to Ollama Cloud together with the public job advert to write the answer, and back to Jev to check the answer before you see it. Questions are not saved and are not linked to any application; we only count how many were asked. To stop abuse we keep a scrambled, one-way code for your connection (never your IP address itself) with a question count for about an hour. Answers come from the job advert and can be incomplete — please don’t type personal details there. It never judges whether you are suitable.
Job alert emails
If you ask for job alerts on the job board, Mirus keeps your email address, the island and the kind of role you picked, and which jobs it has already emailed you about. Nothing is sent until you press Confirm in the first email. The alerts are run by Mirus for the Callout job board (not by any employer), are sent through Resend, and are never shared or used for anything else.
Every alert email has a link to stop them; stopping deletes your address at once. An alert you never confirm is deleted after 7 days, and a confirmed alert ends and is deleted 180 days after you confirmed it (sign up again to keep getting them). Saved jobs (“Saved on this phone”) stay in your own browser and never reach us.
Reporting a job
If you report a job, Mirus keeps what you chose and wrote, the email address if you gave one (only so we can reply), and a one-way code made from your internet address (to stop the same person sending dozens of reports; it can’t be turned back into the address). The report goes to Mirus, never to the employer, and is deleted 180 days after you send it, or sooner if the job’s data is deleted.
Callout also checks every job automatically before it goes public, for signs of a scam such as asking applicants to pay. A job that looks wrong is hidden until a person at Mirus has checked it.
Feedback from employers
If you send a “Suggestion or issue?” message from your Callout account, Mirus keeps what you chose and wrote, your business and account, which kind of page you were on (never its full address or anything shown on it), your browser type and screen size, and which version of Callout you were using. Your email address is kept only if you tick “You can reply to me”. The message is emailed to hello@miruslabs.dev through Resend, never shared, and deleted 90 days after you send it.
If you’re an employer asking about Callout
When you send the “Start a Callout” form, we keep what you typed (your name, business, contact details, the role and your message) so someone at Mirus can reply. It is emailed to hello@miruslabs.dev through Resend and stored on Cloudflare, is never shared, and is deleted 12 months after our last contact, or within 7 days if you ask. We don’t send anything to the address in the form except our reply.
How long we keep it
Applications and CVs are deleted 90 days after the job closes. Generated shortlist files are deleted on the same schedule. They are made on Cloudflare’s systems, not on a staff member’s computer, and making a new set replaces the previous one.
Copies the employer already received by email are in the employer’s own mailbox, which we cannot reach: the employer is responsible for them. Resend, our email service, keeps sent messages for a limited time under its own retention policy.
Your choices
To see, correct or delete your application at any time, email hello@miruslabs.dev with the job title and your name (or your CV reference code). We act within 7 days.
When we delete an application we remove your answers, contact details and CV, take you off the shortlist, and delete the shortlist files and spreadsheet that included you — the employer’s private link stops showing them straight away, and new files are made without you. If those files were already emailed to the employer, we ask the employer to delete their copies; we can’t delete them ourselves.
An employer can also delete a closed job at any time. That takes the job off every page at once and erases every application to it — answers, contact details, CVs, notes, the shortlist and the generated files — straight away rather than after 90 days (if a step fails, our daily clean-up finishes it within a day). What stays is the job’s title and the employer’s billing records: what they paid for, and when.
